Inviting your team to training

Your team studies in Telegram, on their own phone. They do not log in to this admin, and they do not need an account. You send each person a code one time. After that, they get lessons in the chat.

The rule

A code works one time and stops after 30 minutes. Send it when the person is ready to use it, not the week before.

The bot has two different links. People mix them up, so read this first.

  • The training link gets lessons. You make it here, on Your team, with Get a code. This page is about this link.
  • The admin link lets a person who logs in to this admin work on the venue from Telegram. You make it in Telegram assistant. It gets no lessons.

So a manager who already uses the bot every day still gets no lessons. To study, the manager needs a training code too. One Telegram account can have both links, and that is normal.

How it works

  1. Open Training → Your team.
  2. If the person is not on the list, press Add someone. Type a name. Then press the jobs this person does, for example Waiter. That is all. They do not need an email.
  3. Press Get a code next to the person. A code of eight letters and numbers appears.
  4. Press Copy link. Send the link to the person in any way you like, for example in LINE, WhatsApp or a text message. Or, when the person is next to you, press Show QR. A big code fills the screen. Hold up the iPad or the computer. The person points the phone camera at it and taps the link. Nothing to send.
  5. The person taps the link on their phone. Telegram opens the bot, and they tap Start. The bot says hello with their name.
  6. On Your team, their row stops saying Not set up on Telegram yet. Now it shows how many courses they finished.
  7. From now on they send /train when they have two minutes, and they get the next lesson.

The person joins one time only. They do not join again for a new course, and not when you change a course.

Their language

After you press Get a code, a Language list appears next to the person. Pick the language they read best. Their lessons and the bot’s messages then come in that language. The person can also change it themselves: they send /language to the bot and tap their language. If you pick nothing, they get your venue’s main language.

They joined, but they get no lessons

Joining is only one of four steps. A person also needs a course that is published and given to them. Open the course and read the note at the top. It says who gets the course, or which step is missing. See How staff training works.

Good to know

  • The code has no letters that look the same. There is no letter O and no number 1. So a person can read it out loud without a mistake.
  • A new code cancels the old one. If you press New code, the old code stops working. Only one code works at a time for each person.
  • A person joined with a code can only study. They can do lessons, and they can ask about your house rules if you turn that on. They cannot see orders, money or anything else about the venue.
  • Only owners and managers can add, rename or remove people.
  • The job decides the lessons. A person gets the courses of each job they have. To change a job later, press it on their row. A filled job means they have it.
  • There is no role here. A role is for people who log in to this admin. You set it in Platform members.

When someone stops

There are three buttons. Each one is for a different case.

  • Remove access: their phone stops getting lessons. They stay on the list. Use it when someone changes phone. Then give them a new code.
  • Mark as left: they leave the list, but their results stay. To see them again, tick Show people who have left.
  • Delete: only for a name you typed by mistake. It does not work for a person who already has results.
